Staff Management

Setting up staff the right way helps reduce mistakes and keeps the register moving.

Invite a staff member

  1. In the portal, go to Staff.
  2. Select Invite staff.
  3. Enter their name and email.
  4. Choose a role.
  5. Send invite.

They will get an email with steps to set a password and log in.

Tip: Use each person’s real email. Do not share one login across multiple staff.

Choose a role

Roles control what a staff member can see and do.

Manager

Good for store managers and trusted leads.

Typical access:

  • View reports
  • Manage products and inventory
  • Approve returns and overrides
  • Add and remove staff

Cashier

Good for front counter staff.

Typical access:

  • Ring sales
  • Take payments
  • Print receipts
  • Do basic returns if allowed

Stocker

Good for back room and floor staff.

Typical access:

  • Receive inventory
  • Update stock counts
  • View product list

Example setup for a small shop:

  • 1 owner: Manager
  • 1 lead: Manager
  • 3 cashiers: Cashier
  • 1 stock person: Stocker

Manage permissions

Even within a role, you may want tighter control.

Common permissions to think about:

  • Refunds and returns
  • Discounts
  • Voids
  • Price overrides
  • Paid out or cash drawer actions

Tips:

  • Give the least access needed for the job.
  • Add permissions later if needed.
  • Review permissions after promotions or staff changes.

Offboarding, when someone leaves

Do this the same day someone leaves.

  1. Go to Staff.
  2. Find the staff member.
  3. Disable access.

If they had manager access, also:

  • Change any shared safe codes or alarm codes in your store

Training tips that reduce mistakes

  • Teach staff to scan barcodes when possible.
  • Show how to find an item by name if scanning fails.
  • Practice returns during a calm time.
  • Remind staff to follow age verification prompts for restricted items.

Common questions

Can two people use the same login

It is not recommended. Individual logins help with accountability and makes troubleshooting easier.

What if someone forgets their password

Have them use the password reset option on the login screen at portal.peakpos.co.
